Should You Outsource IT Support?

What are your biggest barriers to productivity and progress as a business owner? If you’re like most people, technology issues are near the top the list. Whether it’s a hacked server or the time and energy required for keeping software and hardware up to date, some people find that there simply aren’t enough hours in the day to effectively keep IT management in house.  This is especially true for small businesses with smaller staff sizes. One effective solution that many companies take advantage of is IT outsourcing and management. Would it be a good fit for your business? Consider these factors.

  • The size and skill diversity of your team. Like we implied, businesses with fewer employees tend to put many hats on each of those employees.  If the person replacing the toner in the copier is the same person you call when the network is down, you may benefit from outsourcing those network related tasks.
  • The extent of your IT needs.  Do you only have a few computers and a basic business phone system or is your situation more complex? If you have intricate structured cabling or require an enterprise-level cloud environment, outsourcing could help free up precious time.
  • The potential for a hybrid IT management strategy. When making IT support decisions, business owners sometimes take an “all or nothing” approach by default. Either they keep it all in house or outsource all technology and network related tasks. This doesn’t have to be the case. In fact, many of our clients thrive by hiring us to work with their IT staff.

What Can BCS Voice & Data Handle for You?

At BCS, we tailor our IT support services to each company’s unique needs. Some of these services include:

  • 24/7 network monitoring

Why You Need a Huddle Room

It used to be that company meetings were always held in big, elaborate boardrooms. While full-scale boardrooms are still relevant and necessary for some businesses and industries, many business owners are realizing that meeting-space needs are changing. More workers are telecommuting and the structure of the traditional office is shifting to smaller collaborative teams.  Enter the convenience and innovation of the huddle room.

What is a Huddle Room?

A huddle room is a small room or section of an open space that can support several meeting attendees. It is typically set up with a flat panel display, a small table and AV equipment (camera, microphone and/or virtual communication hub). While we are definitely seeing more huddle rooms in “traditional” offices, they are a very common feature of open offices.

Benefits

Huddle rooms are the future of meetings thanks to their:

  • Flexibility. No need to schedule time in a full conference room. The affordability and space-consciousness of huddle rooms make it easy to hold meetings at a moment’s notice.
  • Accommodation of small groups. Everyone loves a good staff meeting, right? Well, maybe not everyone. Streamline and get more productive with condensed meetings with fewer team members.
  • Affordability. Rather than incur the cost of setting up one or more full-featured conference rooms, small to medium sized businesses can take advantage of the lower price point associated with huddle rooms. But lower cost does not mean fewer features. A huddle room designed by an IT professional will give you everything you need to knock phone and video conferences out of the park without the commitment to a full conference room.
  • Space-consciousness. This one may seem pretty obvious based on what we’ve said so far, but one of the greatest benefits of a huddle room is the office space you save.

One of the more significant components of a huddle room for most organizations is video conferencing equipment, which just so happens to be our specialty at BCS Voice & Data. Sure, we can help build you a complex, impressive conference room. We can also utilize StarLeaf technology to set up a huddle room that meets or exceeds your business’s needs. The Dangers of Ransomware

Unless they are trained in IT or particularly tech savvy, most business owners have only a vague idea of the kinds of viruses and malware that can seriously compromise their company’s security. The reality is that protecting an enterprise-level IT structure from hackers and other cyber-risks is a full-time job that requires advanced technology. This becomes ever more true as these viruses become more advanced, more insidious, and greater in number.

One particularly vile type of malware is called ransomware. Its hallmark is the way it locks users out of a system or certain files, literally holding them for “ransom” until the user pays for a decryption code. Ransomware can make its way into a system when your users visit compromised websites, through spam attachments, “malvertising” campaigns or by way of exploit kits.

Once ransomware locks your system, you will usually see an on-screen message with instructions on how to pay the ransom and regain access to the locked files. Recently Presbyterian Medical Center in Los Angeles found that a group of hackers had locked medical records and other sensitive files at a price of $17,000. The hospital ended up paying the ransom.

Is Your Business Vulnerable to Ransomware?

As hackers become more sophisticated and creative, businesses must respond with heightened security measures and constant network monitoring, down to individual users. The reality is that most companies do not have strong enough network security infrastructures to handle these attacks. That’s why it’s recommended that you hire a professional to protect your network, servers and desktops from hackers. BCS offers 24/7 remote network monitoring that can give you and your staff peace of mind when it comes to threats like ransomware. Our network monitoring services include the following benefits:

  • Remote monitoring
  • Remote automation
  • 100% technician mobility
  • Virtual machine management
  • Self-healing network technology
  • Individual desktop and server monitoring/protection

As a business owner, you have too much on your plate to also have to worry about hacking attempts and important files being held for ransom. Let BCS monitor your network and protect you from security breaches and downtime. Call now at 1 (800) 365-8067 or contact us online.

No More Conference Calls?

In a recent (admittedly hilarious) New Yorker op ed, comedian Carrie Brownstein calls for the elimination of conference calls. She says:

We’re eight minutes into the call when Barb suggests that we get started. I agree. Except that I can barely hear what anyone is saying once we’re no longer speaking in clipped or stentorian phrases. There is a hiss, a delay, and two people who sound like ailing robots. Any ideas told at length are as distinct as a voice mail from a friend who pocket-dialled you while skydiving. It is for these reasons that most people prefer to be silent during the call, with their phones in speaker mode and muted. This is a good time to shower, write the word “Why?” on a notepad until the ink runs dry, or organize your closet by color. Every once in a while, I like to unmute and chime in with a “Yes,” “No,” or “I agree.” About what, I have no idea.

We’re fairly certain that most people have encountered a conference call like this one while at work. Without the right technology and IT support, connecting multiple people from multiple locations can be awkward and difficult, if not impossible. We’re here to tell you that it doesn’t have to be that way.

Thanks to Starleaf and their suite of scalable products, your next conference call can go off without a hitch and accomplish what it needs to accomplish. From simple audio calls between two or three users to complex video calls on specialized monitors between 30 people, Starleaf has a solution. With exceptional call quality, intuitive interfaces on all products and compatibility with a number of existing platforms like Polycom, Cisco, and Microsoft Skype for Business, let BCS help make your conference calls better with Starleaf products.

Benefits of The Toshiba VIPedge and Other Cloud-Based Phone Systems

UnknownNew businesses and small companies can always benefit from enhancing and streamlining communication. Whether that means investing in cutting-edge customer relationship management software or adopting an open floor plan in the office, these organizations like to keep it simple and make it simpler. If you own a business that fits this profile, you understand what it feels like to be responsible for many different defining decisions at once. Choosing the business phone system that is right for your company’s unique needs can be overwhelming thanks the variety of options out there. Some may seem too costly for your small operation or startup while others require a lot of hardware and space. Cloud-based IP phone systems are popular for companies like yours thanks to their flexibility, security and scalability. One such system we trust here at BCS is the Toshiba VIPedge.

The VIPedge is one of Toshiba’s newer products, and unlike the Strata CIX (premise-based) and IP-Edge (hybrid) lines, VIPedge requires no on-site equipment other than the phones themselves. It is perfect for growing businesses that intend to add users and phones over time thanks to the per-user cost structure that requires less up-front capital. But the minimal nature of the set-up does not mean that the VIPedge system skimps on features. It boasts voicemail with unified messaging, call routing, unified communications and messaging, and personalized voicemail–just to name a few.

Does the VIPedge seem like it may be a good fit for your business? Call BCS Voice and Data today at (757) 497-3100 or fill out this form to get an instant estimate.
